Sadie respects your privacy. This Privacy Policy explains how Sadie collects, uses, shares, retains, and protects personal information when you use our websites, applications, payroll tools, employee tools, calculators, documents, communications, and related services (collectively, the “Services”).
Sadie is operated by Archera, LLC. References to “Sadie,” “we,” “us,” or “our” in this Privacy Policy refer to Archera, LLC and the Sadie Services.
By using Sadie, you acknowledge the practices described in this Privacy Policy.
1. Information we collect
The information we collect depends on how you use Sadie.
Account information
When you create or use a Sadie account, we may collect information such as:
- your name
- email address
- phone number
- login and authentication information
- account preferences
- household name
- information about other authorized household users
Household employer information
We may collect information needed to set up and maintain your household-employment account, including:
- household or employment address
- state and locality
- employer name
- employer identification number (EIN), if provided
- household payroll settings
- pay schedules
- household employment arrangements
- other information necessary to provide Sadie’s payroll tools
Employee information
Employers and employees may provide information relating to a household employment relationship, including:
- employee name
- email address
- phone number
- address
- employment start and end dates
- job title or role
- hourly rate or other compensation
- normal work schedule
- hours worked
- overtime
- guaranteed hours
- paid and unpaid time off
- sick leave
- bonuses
- reimbursements
- mileage
- employment status
- other employment-related information
Payroll and tax information
Because Sadie helps calculate household payroll and prepare payroll and tax-related records, we may collect information such as:
- wages and compensation
- payroll history
- year-to-date wages
- payroll-tax calculations
- tax withholding elections
- federal, state, and local tax information
- Social Security and Medicare wage information
- employer payroll-tax information
- information used to calculate employee withholding
- information used to generate W-2-related figures
- information used to generate Schedule H-related figures
- EINs and other employer tax identifiers
- employee tax forms or tax elections
- other information needed to calculate payroll or prepare payroll and tax-related records
If Sadie introduces features that collect additional highly sensitive information, such as Social Security numbers, taxpayer identification numbers, or bank-account information, we will update this Privacy Policy as appropriate.
Documents and files
You may upload, create, or store documents through Sadie, including:
- employment agreements
- employee forms
- pay stubs
- payroll reports
- tax-related documents
- receipts
- reimbursement records
- employment records
- other documents you choose to store in Sadie
Schedule and calendar information
If you use Sadie’s calendar and scheduling features, we may collect:
- normal work schedules
- schedule changes
- time-off requests
- approved leave
- payroll dates
- tax deadlines
- employment events
- related calendar information
Communications
If you communicate with Sadie, we may collect your communications and information associated with them, including customer-support inquiries and feedback.
2. Information we collect automatically
When you use Sadie, we and our service providers may automatically collect certain technical and usage information, such as:
- IP address
- approximate location derived from IP address
- browser type
- device type
- operating system
- referring website
- pages or screens viewed
- buttons or links clicked
- dates and times of use
- session duration
- cookie or browser identifiers
- information about how users interact with Sadie
We use this information primarily to operate, secure, understand, and improve the Services.
3. Google Analytics
We use Google Analytics to help us understand how visitors and users interact with Sadie and to improve our websites and Services.
Google Analytics may process information such as browser and device information, approximate location, session activity, page interactions, and pseudonymous identifiers associated with cookies or similar technologies.
We do not intend to send employee names, email addresses, Social Security numbers, payroll records, tax information, wage amounts, or other directly identifying payroll information to Google Analytics.
Google prohibits customers from sending personally identifiable information to Google Analytics, and we design our analytics implementation accordingly.
Where required by applicable law, we may ask for permission before using non-essential analytics cookies or similar technologies.
You may also be able to limit analytics through browser settings, cookie controls we make available, or tools provided by Google.
4. Google sign-in and Google services
Sadie may allow you to sign in using Google or connect Google services, such as Google Calendar.
If you choose to connect a Google service, Sadie will request only the permissions reasonably necessary to provide the functionality you choose.
For example, if you connect Google Calendar, Sadie may use authorized information to:
- add Sadie events to your calendar
- synchronize approved time off
- synchronize payroll dates
- synchronize tax deadlines
- update connected calendar events
- provide other calendar functionality you request
We use Google account information only for the purposes disclosed when you authorize the connection and as described in this Privacy Policy.
Our use of information received from Google APIs is subject to applicable Google API policies. Google requires applications using OAuth to request only appropriate permissions and to publicly disclose how Google user data is accessed, used, stored, and shared.
We do not sell Google user data.
You may disconnect a Google integration through Sadie or through your Google account settings.
5. How we use information
We may use personal information to provide and operate Sadie, including to:
- create and manage accounts
- authenticate users
- invite household employees
- maintain household and employee profiles
- calculate payroll
- calculate estimated employee withholding
- calculate estimated employer payroll taxes
- calculate overtime and other wage adjustments
- track time off and guaranteed hours
- calculate reimbursements
- generate pay stubs
- maintain payroll histories
- prepare W-2-related figures
- prepare Schedule H-related figures
- generate payroll and tax-related reports
- maintain employment records
- manage schedules and calendar events
- process employee and employer requests
- provide other features you request
We may also use information to:
- send payroll reminders
- send tax-deadline reminders
- notify users about schedule or time-off requests
- send document notifications
- provide billing and subscription communications
- respond to support requests
- maintain account security
- detect fraud or misuse
- diagnose technical problems
- analyze product performance
- understand how Sadie is used
- improve existing features
- develop new features
- enforce our Terms of Service
- comply with applicable law
6. Sadie does not file or pay your taxes
Sadie uses payroll and tax-related information to calculate estimates, prepare records, generate tax-related figures, and remind you about upcoming obligations.
Sadie does not currently file your federal, state, or local tax returns, remit your tax payments, or transfer wages to employees.
You remain responsible for reviewing Sadie’s calculations, making required payments, filing required forms and returns, and complying with applicable tax and employment laws.
7. How we share information
We do not sell employee payroll information, wage information, or tax information to advertisers or data brokers.
We may share personal information in the circumstances described below.
Service providers
We may use trusted service providers to help operate Sadie, including providers of:
- cloud infrastructure and hosting
- databases
- authentication
- analytics
- email delivery
- SMS delivery
- payment processing
- customer support
- security
- document generation
- other technical infrastructure
These providers may process information as necessary to perform services for Sadie and subject to applicable contractual and legal restrictions.
Between household employers and employees
Sadie is designed to support a shared household-employment relationship.
Authorized employers may be able to see information relating to their employees, including:
- work schedules
- schedule changes
- time-off requests
- wage information
- payroll history
- reimbursement requests
- employment documents
- other employment-related information
Employees may be able to see information relating to their own employment, including:
- schedules
- time off
- compensation
- payroll calculations
- pay stubs
- reimbursements
- employment documents
- tax-related documents made available to them
We may restrict access to particularly sensitive information where appropriate.
Other household users
If the account owner authorizes another household user, such as a spouse or partner, that user may be able to access household, employee, payroll, tax, document, or billing information depending on the access Sadie provides.
At your direction
We may share information when you instruct us to do so, including when you:
- export a report
- download or share a document
- connect a calendar
- invite another household user
- provide information to an employee
- use another integration or sharing feature
Legal and safety purposes
We may disclose information if we reasonably believe it is necessary to:
- comply with applicable law
- respond to valid legal process
- investigate fraud or abuse
- enforce our agreements
- protect the safety or rights of Sadie, our users, or others
- establish, exercise, or defend legal claims
Business transactions
If Archera, LLC is involved in a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar business transaction, information may be transferred as part of that transaction subject to applicable law.
8. We do not sell payroll or tax data
Sadie does not sell employee payroll information, employee tax information, wage information, or payroll records to advertisers or data brokers.
We do not use an employee’s payroll or tax information to create advertising profiles for that employee.
If our practices materially change, we will update this Privacy Policy and provide any choices required by applicable law.
9. Cookies and similar technologies
Sadie and our service providers may use cookies and similar technologies to:
- keep users signed in
- maintain account security
- remember preferences
- operate website functionality
- understand use of the Services
- measure website performance
- improve Sadie
Some technologies are necessary for the Services to function.
Others, such as certain analytics technologies, may be optional depending on applicable law and the controls available to you.
10. Payments and billing
If you purchase a paid Sadie subscription, payment information may be processed by a third-party payment processor.
Sadie may receive limited information relating to the transaction, such as:
- payment status
- billing name
- billing address
- payment-method type
- last four digits of a payment card
- transaction amount
- subscription status
We may not directly receive or store complete payment-card numbers when payments are processed by a third-party payment provider.
The payment provider’s handling of your information is also governed by its privacy practices.
11. Data security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
Access to sensitive information is intended to be limited to people and service providers who need access for legitimate business purposes.
However, no method of electronic storage, transmission, or processing can guarantee absolute security.
You are responsible for maintaining the security of your Sadie credentials and notifying us promptly if you believe your account has been compromised.
12. Retention and deletion
While your Sadie account remains open, we generally retain payroll, employee, tax-related, document, and account information so you can access your payroll history, prepare tax filings, maintain records, and continue using the Services.
Canceling your paid subscription does not close your Sadie account and does not automatically delete your information.
You may continue to have access to previously created records as described in the Services.
Closing your account
Closing your account is a separate action from canceling a subscription.
If an authorized administrator chooses to close the household account through Sadie:
- Access to the account will be suspended.
- The account will remain inactive for 14 days.
- During that period, an authorized administrator may sign in and reopen the account.
- After the 14-day recovery period ends, we will begin permanently deleting the account and associated personal information.
Once permanent deletion has been completed, the deleted account and information cannot be restored.
Export anything you wish or are legally required to retain before closing your account.
This may include:
- payroll histories
- pay stubs
- tax information
- employee documents
- employment agreements
- reimbursement records
- year-end records
Information we may retain
We may retain limited information after account closure where reasonably necessary or legally required for purposes such as:
- complying with legal, tax, accounting, or reporting obligations
- maintaining billing and transaction records
- resolving disputes
- enforcing agreements
- preventing fraud or abuse
- maintaining security records
- establishing, exercising, or defending legal claims
Copies may also remain temporarily in encrypted or restricted backup systems until those backups are overwritten or deleted through our normal backup-management processes.
Information retained for these purposes will not remain available as an active Sadie household account.
13. Your responsibility to retain payroll records
Household employers may have legal obligations to retain wage, tax, payroll, and employment records after employment ends or after they stop using Sadie.
Sadie does not determine how long you are legally required to keep each type of record.
Before closing your account, you should download any information you may need for tax, employment, regulatory, accounting, or other purposes.
14. Your privacy choices
Depending on where you live and whether an applicable privacy law applies to Sadie, you may have rights concerning your personal information, including the right to:
- request access to personal information
- request correction of inaccurate information
- request deletion
- obtain a copy of certain information
- opt out of certain uses of personal information
- withdraw certain consents
- appeal certain privacy-request decisions
Tennessee law, for example, provides qualifying consumers with certain privacy rights where the Tennessee Information Protection Act applies, including rights relating to access, correction, deletion, portability, and certain opt-outs.

We may need to verify your identity before completing a request.
Certain information may be exempt from deletion or other requests where applicable law permits or requires us to retain it.
15. Employee privacy requests
Employees may contact Sadie concerning personal information associated with their Sadie account.
Some employment and payroll information may also form part of the household employer’s legally required payroll records.
As a result, a request from an employee to delete or change information may not necessarily require deletion of every copy of the corresponding payroll record.
Where appropriate, we may need to coordinate with the household employer or retain information as permitted or required by law.
16. Email and text messages
Sadie may send transactional communications relating to:
- employee invitations
- payroll
- schedules
- requests
- time off
- reimbursements
- tax deadlines
- documents
- account security
- billing
- subscription activity
You may control certain notification preferences in Sadie.
Certain operational, legal, billing, or security communications may still be sent while you maintain an account.
Message and data rates may apply to SMS communications.
You may opt out of marketing communications using the unsubscribe mechanism provided in those communications.
17. Children's privacy
Sadie accounts are intended for adults managing or participating in household employment relationships.
Sadie is not directed to children under 13, and children should not create Sadie accounts.
Household employers or employees may occasionally enter information relating to children as part of a schedule, receipt, reimbursement note, employment record, or similar household-employment activity.
Users should avoid providing unnecessary personal information about children.
If you believe a child has directly submitted personal information to Sadie improperly, contact us.
18. Third-party links and services
Sadie may contain links to or integrate with third-party websites and services.
Those third parties operate under their own privacy policies and terms.
This Privacy Policy does not govern information that a third party collects independently from Sadie.
19. United States service
Sadie is currently intended primarily for users in the United States.
Information may be processed or stored in the United States and in other locations where our service providers operate.
20. Changes to this Privacy Policy
We may update this Privacy Policy as Sadie evolves or as legal requirements change.
If we make material changes, we may notify you through Sadie, by email, or through another reasonable method where appropriate or required by law.
The date at the top of this Privacy Policy shows when it was most recently updated.
