Am I an employer?

Who is this for?

Household employers paying a nanny, housekeeper, caregiver, or similar worker as an employee — never gendered, never nanny-only. Independent contractors are a different tax path.

Am I an employer?

If you regularly pay someone to work in your home — a nanny, housekeeper, caregiver, or similar worker — you may be a household employer. That can mean payroll and tax responsibilities. Sadie helps you see what typically applies; it does not decide your legal status.

Is my nanny an employee?

Often, yes — if you control how and when the work is done in your home. Sadie is built for household employees. If you're unsure, a tax professional can help you classify the relationship before you run payday.

Is my housekeeper an employee?

If they work in your home on a regular schedule and you direct the work, they may be a household employee. Occasional cleaning from a company is often different. Sadie is for household employees, not a vendor invoice.

What about a caregiver?

A caregiver who works in your home can be a household employee the same way a nanny or housekeeper can. Sadie isn't nanny-only. Classification still depends on the facts of how you work together.

Can I pay them as a contractor?

Sometimes people want to. Household workers are often employees under IRS rules even if you pay by Venmo. Sadie doesn't reclassify anyone. If you treat someone as a contractor, that's a different tax path — and not what Sadie calculates.

What if they only work occasionally?

Occasional help can still create tax questions once wages cross federal thresholds. If the work is irregular, start with Coverage and a tax professional. Sadie is designed for a regular household employee on a payday schedule.

Getting started

Which states do you support?

All 50 states plus DC. Sadie calculates federal payroll taxes — Social Security, Medicare, federal unemployment, and optional federal withholding — the same way everywhere, and we've verified a minimum wage and a state unemployment new-employer rate for all 50 states plus DC. Where a state has its own income tax, Sadie also estimates state withholding from that state's published tax brackets — an estimate, not a guaranteed match to that state's own withholding formula. Do you collect Social Security numbers?

No. Not from you, and not from your employee. When you download a W-2, the Social Security number boxes are left blank and editable — you type them straight into the PDF yourself, and Sadie never sees or stores them. You type your own SSN only on the IRS's own EIN site.

Do I need an EIN?

You'll need an Employer Identification Number to file household employment taxes. If you already have one, you can enter it in setup. If you don't, Sadie walks you to the IRS site — your SSN stays on the IRS's page, not in Sadie.

How much does Sadie cost?

$12.99/month for your first active employee, plus $4.99/month for each additional active employee — everything included. Your first payday is free — no credit card to get started. After that, subscribe to keep calculating paydays and tax records. Public calculators on the website stay free. See Pricing for the full breakdown.

Can I start in the middle of the year?

Yes. Set up the household and record paydays from here forward. You'll still need your earlier records for year-end forms — Sadie doesn't invent history you haven't entered.

What if I've already been paying someone?

You can start Sadie now and keep going on the next payday. Catch-up for earlier cash or Venmo payments isn't in the product yet. Keep those records; you'll need them for Schedule H and the W-2.

What if I don't have complete records?

Don't guess in Sadie. Use what you can document, and ask a tax professional how to reconstruct the rest. Sadie will calculate from the hours and paydays you actually record.

Payday

Does Sadie pay my employee for me?

No. We never move money. You send pay yourself on Venmo, Zelle, Cash App, or however you two already pay. Sadie calculates the net and points you to the right app.

Can I keep using Venmo?

Yes. Tell us that's how you pay. On payday we show the net and point you to Venmo. You still send it. We never move money.

Can I use Zelle?

Yes — same idea as Venmo. Sadie calculates take-home pay. You send it in Zelle the way you already do.

Can I use cash or check?

Yes. Choose Other (or Check when that's how you pay). Mark the payday sent after you've actually paid them. Sadie still keeps the stub and the tax math.

What if hours change?

Enter the hours they actually worked for that payday. Sadie recalculates from what you entered. Don't reuse last week's hours if this week was different.

What about overtime?

Tell us the hours. Sadie applies overtime from their setup — weekly overtime after 40 hours in most supported states, and California's daily overtime after 8 hours. You don't split regular vs overtime by hand.

Bonuses?

Bonus pay isn't a separate payday type yet. If you paid extra, keep a record and talk to a tax professional about how it should be treated. Don't hide it in hours that weren't worked.

Reimbursements?

A true reimbursement (you paid them back for a receipt) is usually not wages. Sadie's payday flow is for wages. Approved reimbursements can appear on that payday as a reminder to send — they are not added to hours, gross, or tax math.

Taxes

Do you file my taxes?

No. Sadie calculates your numbers and gives you the actual W-2 and W-3 forms, filled in and ready to download from Tax Center. For 2026 Schedule H, we fill a line-by-line worksheet from your paydays — the IRS's official 2026 form unlocks when they publish it. You still sign, send, and file everything with the IRS and your state yourself.

Is this tax advice?

No. Estimates only. For anything specific to your situation, a licensed tax professional can help.

What is Schedule H?

Schedule H is the IRS form household employers attach to their federal return for employment taxes. Sadie keeps the numbers ready. You still include it when you file.

What taxes may apply?

Commonly: Social Security and Medicare (FICA) for both of you, federal unemployment (FUTA), optional federal income tax withholding, and state unemployment. Some states also have income tax withholding, paid leave, or other employer rules. Coverage shows what Sadie calculates today versus what we only guide.

How much should I set aside?

After each payday, Tax Center shows the employer-side amounts based on payroll you've recorded. That's the pile to keep available — Sadie doesn't take it from your bank.

When will Sadie tell me something is due?

Tax Center holds the running totals and the filled packets those numbers belong on. We email you 21 days, 7 days, and 1 day before each federal deadline — and once if it's a few days late. Mark an installment paid or a form done so reminders stop.

State requirements

Do I need workers' compensation?

Many states require it for household employees, or require it after a certain number of hours. Sadie does not sell or file workers' compensation. We'll point you to check your state; a broker or state site is the official next step.

State unemployment?

Most states require household employers to register and pay state unemployment tax once wages cross a threshold. Sadie estimates the new-employer rate for all 50 states plus DC from each state's own labor or workforce agency — you still register and pay your state yourself. We don't remit the payment.

Paid sick leave?

Some cities and states require paid sick leave for household workers. Sadie does not track leave balances yet. If it may apply where you live, confirm with your state or city — don't assume payroll math covers it.

Paid family leave?

A few states run paid family leave programs with employer withholding or contributions. Sadie does not enroll you or remit those amounts. Coverage lists this as guidance, not a calculation we file.

Local requirements?

City minimum wage, local paid leave, and local taxes can apply on top of state rules. Sadie does not auto-detect every locality. We warn from published state minimums and tell you to confirm local rules.

Employees

What does my employee need to do?

They open a private invite, sign in with Google or email and password, and enter their own name, address, tax choices, and how they like to be paid. You set the rate and schedule. You'll never type their SSN.

What information can I see?

You see that they finished their part, plus the details needed to run payroll and send pay — name, address, whether federal withholding is on, and their payment handle. They enter it directly; you don't fill it in for them.

What stays private?

Their login is theirs. We don't collect Social Security numbers or bank account numbers. They add tax choices themselves. We don't sell personal information.

Can employees see pay stubs?

Yes. After you mark a payday sent, they can open their stub in Sadie — wages, taxes, take-home pay, and the history of paydays you've recorded.

What happens when employment ends?

You still owe a final paycheck on your state's rules, and a W-2 at year end. Ending employment isn't a separate Sadie flow yet. Keep using Tax Center for the year's numbers, and don't delete records you'll need to file.

Can I export my records?

Pay stubs and Tax Center numbers live in your account, including W-2 and Schedule H figures from the paydays you recorded. A dedicated year-end package for your tax preparer is still coming.

Can my tax preparer use the information?

Yes — that's what Tax Center and the stubs are for. They'll still file; Sadie doesn't send anything to the IRS for you.

How do I get support?

Email hello@sadiepay.com and tell us what's confusing. We're humans, not a ticket maze. Estimates in the product still aren't a substitute for a licensed professional.

How do I delete my account?

Only an admin can close the account. From Settings, cancel your plan if you only want to stop billing — canceling your plan won't close the entire account. To close it, use Close account on the same page. Closing your account means you and your employee will not be able to access this household. The account is inactive for 14 days; log in during that time to reopen it. After 14 days the account and all of its data are permanently deleted — once deleted, it cannot be reversed. Export your data first; access to your account data will be lost.

Reimbursements

Do reimbursements count as wages?

A true reimbursement — you paid them back for a documented household expense — is usually not wages. Sadie keeps reimbursements separately identified from payday wages. If an expense isn't reasonable or doesn't qualify, it may be taxable. That's not tax advice.

Should I keep receipts?

Yes. Receipts help show that expenses are reasonable and work-related. Attach a photo or PDF to the reimbursement request in Sadie when you can, and keep a copy yourself.

Does Sadie pay reimbursements automatically?

No. We never move money. Approved reimbursements can appear on a payday as a reminder to send — they are not added to wages or tax math. You send the reimbursement yourself, then mark it paid on Reimbursements.

Are all reimbursements tax-free?

No. Proper, documented, reasonable reimbursements are often treated differently than wages. If an expense isn't reasonable, adequately documented, or doesn't qualify, it may be taxable to your employee. Estimates in Sadie aren't a substitute for a licensed tax professional.

Does Sadie file anything for me?

No. Sadie calculates your numbers and gives you the actual W-2 and W-3 forms, filled in and ready to download from Tax Center.
